How many enquiries do small businesses really miss?
More than most owners think. In a UK study of 142 small businesses, 47% didn't answer the first call, and over half of those offered no way to leave a message. If you work on site, drive between jobs or run the business alone, a missed call is normal. Losing the customer doesn't have to be.
Why does reply speed matter so much?
Because customers often contact two or three businesses at once and go with whoever replies first. A widely cited Harvard Business Review analysis of online enquiries found businesses that replied within an hour were nearly seven times more likely to have a meaningful conversation with the customer than those that waited even one hour longer. You don't need to reply within minutes to every message yourself. You need the customer to hear something straight away, and to know when they'll hear more.
Five fixes, from simplest to smartest
- 01An instant auto-reply on every channel. Email, website form, Facebook and Instagram messages can all send an automatic "Thanks, I've got your message. I'll reply by 5pm today." It costs nothing and stops the customer moving on.
- 02Missed-call text-back. When you can't answer, the customer automatically gets a text: "Sorry I missed you, I'm on a job. What can I help with? You can also book here: [link]." The conversation carries on by text, which suits most people better anyway.
- 03A short enquiry form that asks the right questions. Ask for the four or five things you need to quote, so you're not stuck in a back-and-forth. Make it work on a phone in under two minutes.
- 04Everything in one place. Send every enquiry (form, call, WhatsApp, social) to one inbox or a simple spreadsheet, so nothing sits forgotten in a DM.
- 05Automatic follow-up. If a quote isn't answered in three days, a polite reminder goes out on its own. Many jobs are won on the second message.

Do I need expensive software?
No. Most small businesses can do this with tools they already pay for (their website, email and phone provider) plus a low-cost automation tool connecting them. The setup matters more than the software: clear wording, the right questions and sensible timings.
What should my auto-reply say?
Keep it short, human and specific:
- —Thank them and use their name if you have it.
- —Say when they'll hear back ("by 5pm today", "tomorrow morning").
- —Give one useful next step: a booking link, your prices page or an FAQ.
- —Sign off with your name, not "The Team".
